Overview
Last year, VHA contracted Dialog Medical to develop Spanish-language translations for documents in the iMedConsent™ clinical library, including:
Some things that DAPs control include (but are not limited to):
- Consent forms
- Patient education documents (Standard and Easy Reading)
- Patient instructions
- Tests & admissions forms
In addition, the following administrative forms have been translated (available in the “Shared” folder):
- HIV
- Authorization for Autopsy-(VA Form 523)
- Consent for Use of Picture and/or Voice (VA FORM 10-3203)
- Consent for Use of Picture and/or Voice (VA FORM 10-3203) - PRINT ONLY SPANISH
Version 3.803.00.018 of the iMedConsent software will deliver the Spanish-language feature to VA medical facilities nationwide.
The Spanish-language VA Advance Directive is in development and will be released in a later patch update. Dialog Medical will continue to update the Spanish-language content as new national forms are added to the system and as the existing content is modified/updated. Upon installation of this patch on your local server, a new radio button control will appear on the left hand side of the main iMedConsent™ user interface. In “English” mode (which is the default), all documents appear on the screen as before. The Spanish-language mode is activated by clicking the “Include Spanish” radio button. When this mode is selected, consent forms will include both English and Spanish text in each section of the consent template. The consent wizard allows the user to select English or Spanish on each wizard panel to facilitate the patient/provider discussion. Other documents generated in “Include Spanish” mode will contain the complete Spanish translation followed by the original English version.
The following pages will quickly orient you to this new functionality.
Generating Consents
When the user selects “Include Spanish,” only the documents that are available in this mode are listed. Documents that are available only in English will not appear.
The only change on the consent wizard is the new “Show Values in:” dropdown control at the bottom of the screen. Here is the “English-US” treatment description screen:

If the user edits any of the text in the wizard panels during the consent discussion with the patient, iMedConsent™ will prompt the user to make a corresponding edit in the other language. For example, if the provider obtaining the patient’s consent adds some information to the treatment description in the “English-US” text view, the system will display the follow alert when the “Next” button is clicked.
Selecting ”No” will return the user to the treatment description wizard panel so the user can change to “Spanish” view and make the same edits or additions in Spanish. Selecting “Yes” advances the wizard to the next panel WITHOUT making an editorial change to the Spanish-language translation. (NOTE: In providing care to Spanish-speaking patients, providers should either be fluent in Spanish or they should employ the assistance of a qualified interpreter. It IS EXPECTED that consent form edits or additions are made in both languages.)
If the user is prompted to enter a value for the Anatomical Location and Side, it is required to enter a value for both the English and Spanish views. If values for both are not entered, the following message will appear when trying to advance to the next screen in the wizard:
When the provider has advanced through the wizard, the “Final View” screen will display each section of the form in English, immediately followed by the Spanish translation in italics. The progress note that is automatically generated when the consent form is saved is not affected by the language controls. It will only include the English text.
When obtaining signatures, the provider can toggle between the English and Spanish ”signature text” for the signatory. Here the text on the patient signature panel presented in English:

Additional Information
The documents available in Spanish are only visible if the user selects the “Include Spanish” radio button on the main screen. If you have Spanish-language documents included in a “Package”, those documents will ONLY appear in your Package if you are in “Include Spanish” mode. They will NOT appear in your Package if you are in “English” mode.
Similarly, your Spanish-language “Favorites” will only appear under the “Favorites” label if you are in “Include Spanish” mode, and your English “Favorites” will only appear if you are English mode.
Consent forms including Spanish can be stored in “Documents to Sign.” Unlike “Favorites” and “Packages,” all of the stored documents (those generated in “English” and “Include Spanish” mode) will be visible no matter what radio button is selected on the main iMedConsent™ screen. However, documents selected from “Documents to Sign” must be completed in the mode in which they were generated. For example, if the user is in “English” mode and selects a document from the “Documents to Sign” folder that was originally prepared in the “Include Spanish” mode, the following alert will appear:
The user will have to select the “Include Spanish” radio button and then select the document.
